GENLOGS FOR CARRIERS — BETA
Biometric Information Notice and Consent
Effective Date: [●], 2026; Version: 0.1 (Beta) · Published at genlogs.io/legal/biometric
A. Biometric Information Notice
Why you are seeing this. This Notice is about you personally, the individual opening or verifying a GenLogs carrier account, not about your company. To open an account, we must confirm that the person opening it is who they say they are. We do this by comparing a live photo of your face (a selfie) with the photo on your government-issued ID, the same kind of check FMCSA now requires when a carrier registers for a USDOT number. That comparison uses biometric information, and the law in several states requires us to tell you about it and get your written consent first.
What is collected. When you take a selfie and photograph your ID, the identity verification providers that act for GenLogs (our “Verification Providers”) capture images of your face and your ID and create a measurement of your facial geometry from each image in order to compare them. That measurement is a “biometric identifier” or “biometric information” under laws such as the Illinois Biometric Information Privacy Act. We call it “Biometric Data” in this Notice.
Who collects it, and who holds what. GenLogs Corporation requires the check and starts it from a GenLogs screen. Our Verification Providers perform the capture and comparison for GenLogs, and the provider that performs the comparison holds your selfie, your ID image and the Biometric Data for the periods in the schedule below. GenLogs receives only the result of the check, the type of ID and the name on it. GenLogs does not receive, access or store your selfie, your ID image or any Biometric Data. Our Verification Providers’ own notices are shown to you during the check.
Why it is collected. Only to verify your identity, confirm that you are associated with the carrier account you are opening, and prevent fraud and impersonation on the GenLogs platform. Neither GenLogs nor our Verification Providers use Biometric Data for any other purpose, including to train or improve any software. The check is the same for every person opening an account, in every state, and it is run again only if you open a new account or we need to re-verify you.
How long it is kept. Biometric Data is permanently destroyed once the comparison is complete. Your selfie and ID images are destroyed once your verification is closed, including any review of a disputed or suspected fraud check. In every case they are destroyed no later than three years after your last interaction with GenLogs, unless the law, a court order or a legal hold requires us or our Verification Providers to keep them longer, in which case they are destroyed when that requirement ends. The Retention and Destruction Schedule below is our written retention policy for Biometric Data.
No sale, no disclosure. GenLogs and our Verification Providers do not sell, lease, trade or otherwise profit from Biometric Data. It is not disclosed to anyone other than our Verification Providers, who share with GenLogs only the result, except where the law, a valid warrant or a subpoena requires it.
How it is protected. Biometric Data is stored and transmitted using reasonable security measures that are at least as protective as those used for other sensitive information, and at least as protective as the law requires.
Your choice. You do not have to consent. If you do not consent, we cannot open a carrier account for you during the beta, because this identity check is how we protect carriers and brokers from impersonation. If you consent and later change your mind, write to support@genlogs.io; we will instruct our Verification Providers to destroy any Biometric Data and images from your sessions that they still hold.
This Notice and disputes. This Notice is part of your agreement with GenLogs, and you accept it for yourself. The GenLogs Carrier Terms of Service apply to it, including Section 14 (Disputes), which provides for individual arbitration and waives jury trials and class actions. If this Notice and the Carrier Terms of Service conflict on biometric data, this Notice controls.
