GENLOGS FOR CARRIERS — BETA
Carrier Onboarding Privacy Supplement
Effective Date: [●], 2026; Version: 0.1 (Beta)
This Supplement forms part of the GenLogs Privacy Policy and adds the following for personal information we collect when a motor carrier creates a GenLogs carrier account, completes onboarding for a broker, or connects a service to its account (“Carrier Onboarding”). Everything else in the Privacy Policy applies as written.
1. Identity Verification
The individual who opens a carrier account verifies their identity through our identity verification providers using a government ID and a selfie. We receive only the result, the type of ID and the name on it. The images and any biometric data are collected and held by those providers, not by GenLogs, under our Biometric Information Notice, which governs that step.
2. Sensitive Personal Information
Carrier Onboarding involves taxpayer identification numbers on a Form W-9 (employer identification numbers; we do not request Social Security numbers) and government ID information processed by our identity verification providers. We use them only to verify identity, prevent fraud, secure the Service and comply with law. Tax forms and taxpayer identification numbers are encrypted, masked in the Service, and accessible only to personnel who require access.
3. Brokers and Other Customers
Carrier Onboarding is initiated by a broker’s invitation or by the carrier itself, and the carrier directs the sharing described here in the Carrier Terms of Service. In addition to Section 1.4 of the Privacy Policy:
- A broker that invited a carrier receives the carrier’s profile, uploaded documents, verification results and insurance status, its Form W-9 including the full employer identification number, its insurance agents’ contact details, the agreement it signs with that broker, and that broker’s own notes and designations about it
- Other customers receive the carrier’s profile information, insurance coverage status (and certificates, where the customer has that permission) and GenLogs Data about the carrier, but not its uploaded documents, tax forms or taxpayer identification number, its agents’ contact details, or any broker’s agreement with or notes about it
- No broker or customer receives login credentials, ID images, selfies or biometric data
- Signals, scores and indicators about a carrier are provided to brokers and customers and are not displayed to the carrier, except as required by law
4. Corrections
A carrier may correct the information it submitted in its profile at any time. An individual who believes information we have compiled about a carrier is inaccurate may write to support@genlogs.io with the specifics, and we will review the request in good faith.
5. Providers and Retention
Our Carrier Onboarding providers are our identity verification provider and its image-processing subprocessor, our insurance verification provider, our connected device provider, our sign-in provider and our electronic signature provider; each processes personal information only to provide services to us. Section 1.6 of the Privacy Policy governs retention; in addition, records of biometric consent are retained for five years after the account closes.
